The Legal Assistant is expected to be familiar with a variety of legal concepts, practices, and procedures.  Relies on experience and judgment to plan and accomplish goals.  

• 1. Prepare legal documents in proper legal format, proof read and cite check documents.
• 2. Maintain files, implementing special protections for confidential documents, and preservation of original documents; keep agreements list updated. 
• 3. Interface with Council staff worldwide as needed, and others to determine services needed, prioritize matters and relay to General Counsel as appropriate.
• 4. Maintain and update commercial company listings and perform conflicts of interest check; maintain annual trustees, officers, and directors conflicts of interest statements.
• 5. Maintain country office registrations and country agreement files.
• 6. Prepare and file bi-annual renewal for D.C. office business license.
• 7. Manage the process for authenticating corporate documents in accordance with foreign government rules and relevant U.S. state and federal requirements; perform research re administrative rules and procedures.
• 8. Maintain current list of outside counsel; handle outside-counsel legal billing, maintain up-to-date records of legal expenses, monitor expenses, prepare financial reports; 
• 9. Assist with the internal management of litigation matters, including implementing document preservation procedures, producing documents and materials that are responsive to discovery requests and subpoenas.
• 10. Assist with the preparation of the General Counsel's annual  budget.
• 11. Prepare updates and ensure postings for General Counsel's intranet and Web sites.
• 12. Maintain data base on mandated continuing legal education requirements, and keep record of such compliance.
• 13. Assist with the selection of legal source materials, handle purchases, organize and be responsible for keeping such materials up-to-date.
• 14. Keep legal department up-to-date with current law office practices and standards by, among other things, keeping abreast of developments in the areas of legal office software, suppliers of legal products.
• 15. Maintain schedule of activities, plan and organize meetings, and prepare background materials and presentations; attend meetings and take minutes as needed.
• 16. Provide effective skills in word processing and related computer software. Handle faxing, draft correspondence, sort mail, general telephone coverage.
• 17. Handle travel arrangements and preparation of expense reports.

• 1. Minimum of four years professional legal secretary experience.
• 2. Excellent English language skills (oral and written).  Excellent proofreading and editing aptitude.  Ability to quickly draft correspondence; prepare graphs and other written materials with a sharp attention to detail, appearance and accuracy while utilizing good editorial judgment.
• 3. Proficiency in MS Word, Excel, PowerPoint and Outlook required. 
• 4. Excellent phone manner and skill.
• 5. Must be punctual, organized and detail oriented.
• 6. Demonstrated good judgment and discretion in dealing with confidential and high-level matters.
• 7. Graduation from a secretarial program preferred.
• 8. Strong interest in working for an international institution.
