Summary: Top-ranked AM multinational law firm is seeking a Paralegal Legal Secretarial Supervisor to support the Boston Office. The Paralegal / Legal Secretary Supervisor will supervise the daily workflow of all legal assistants and secretaries within the Boston Office, (25 employees). Heavy interaction with cross-functional departments regarding department needs.

Key Responsibilities:

  • Manage the overall paralegal / secretarial, legal assistant and departmental management relationships with regard to legal secretarial and paralegal / legal assistant matters for appox 25 employees.
  • Maintain a solid understanding of all aspects of services provided in your Paralegal / Secretarial Department and the Firm's related Paralegal, Case Management, and Litigation Departments. The Paralegal / Secretarial Department plays a key role in the entire firm.
  • Maintain an active working relationship with Partner(s) and Senior Management to evaluate departmental procedures and implement changes as appropriate
  • Develop, implement and maintain the department’s procedures and best practice guidelines; analyze data and make appropriate recommendations
  • Assist with hiring, orientations and ongoing training of those in your department
  • Maintain budgets in areas of responsibility
  • Keep abreast of developments in the legal market to ensure the departmental practices are current
  • Direct coordination of secretarial projects: identify resources required, oversee ongoing projects and communicate effectively with administration
  • Actively source for alternative methods and best practices for all workflow and procedures
  • Manage and address employee and performance issues to ensure optimal results
  • Oversee the development of team members and provide the necessary training
Requirements:
  • 6 to 7+ years of supervisory experience in a law firm preferred
  • Bachelor’s Degree required
  • Excellent well-developed management and interpersonal skills and organizational skills
  • Ability to interface, develop and maintain professional relationships with attorneys and staff
  • Ability to positively tackle problems, provide solutions and engage with others to ensure proactive steps are taken

Summary Assist in ensuring quality secretarial support to the legal staff.  Understand duties of Director and ability to substitute for Director in her/his absence.
Description
  • Schedule vacations and other absences and prepare daily log sheets for daily assignment while ensuring a continued smooth workflow for the legal staff, including calling in additional staff when necessary.
  • Early morning retrieval of phone messages concerning secretarial absences and recording same on daily log sheets.
  • Assign floating secretarial personnel to meet desk coverage needs based on vacation, illness and personal emergencies of secretarial personnel and overflow needs of the attorneys.
  • Oversee distribution of evaluation sheets on floaters and reviewing same for use in preparing daily secretarial assignments and monitoring performance.
  • Review floater evaluations and consult with attorneys on negative feedback.
  • Speak with individual floaters on a quarterly basis regarding feedback from evaluations.
  • Assist in making new attorney assignments and changes to current assignments.
  • Provide input and assist in performing yearly performance evaluations of day secretarial staff.
  • Assist with recruiting and interviewing assistants.
  • Give input for bonus preparation.
  • Assist with budget preparation.
  • Keep track of and monitor employees' attendance including submitting hours of part-time employees to payroll.
  • Generate personnel action and payroll deduction forms.
  • Update Secretarial Services Procedures Manual to ensure proper training on firm procedures.
  • Handle all new hire issues.
  • Coordinate buddies for new employees.
  • Counsel/coach staff with conflicts as necessary.
  • Handle progressive disciplinary issues (i.e., attendance, punctuality, etc.) including speaking to habitual offenders.
  • Attend and assist at secretarial meetings.
  • Assist with distribution of overflow work.
  • Handle requests for notary assistance.
  • Communicate with Night Coordinator requests for secretarial assistance in the evenings or any other pertinent information that develops during the day.
  • Heavy phones and personal contact with legal and staff personnel.
  • Walk floors.
  • Handle various projects delegated by Director as well as numerous ad hoc situations on a daily basis.
Experience
  • Associates Degree
  • Strong organizational skills
  • Good verbal and written communication skills
  • At least 5 years of secretarial experience and 1 year of supervisory experience.
  • Knowledge of scheduling procedures
  • Ability to work with all levels of staff and management.
