| Key Responsibilities |
SUMMARY
The
ideal candidate should have an upbeat, highly adaptable personality with
exceptional communication skills. Preference will be given to those
with experience dealing with shifting priorities and handling both reception
and attorney desks.
This
is a great opportunity for a legal assistant or legal secretary, with five
years of small law firm litigation experience, looking to utilize their
skills and knowledge in a large international law firm setting.
RESPONSIBILITIES
-
Provide
secretarial and reception coverage to Firm, Partners, Associates and Administration
-
Operate
switchboards and telephones; screen and direct calls to appropriate parties
-
Take accurate
telephone messages and deliver messages promptly via email or voice mail,
as directed by attorney instructions
-
Create,
format, edit, proofread and manage Excel spreadsheets, Word documents and
PowerPoint presentations
-
Compose
TOA’s and TOC’s; perform redlining and blacklining; edit pleadings and
discoveries
-
Coordinate
and manage calendar and deadlines for trials, depositions, business and
client meetings, conference calls, appointments, travel and personal matters
-
Handle
all incoming and outgoing correspondence via electronic and paper mail
-
Receive
and interact with incoming clients and visitors
-
Schedule
and book travel arrangements; enter and track expenses and complete travel
expense reports
-
Assist
with time entry and billing as needed; set up invoices and statements,
enter and track attorney's billable hours, create reports and maintain
records
-
Oversee
conference room arrangements and scheduling for meetings, including video
conferences and client meetings.

Perform
routine filing, photocopying, scanning, faxing, compiling and distributing
of documents
-
Assist
with filing of documents with courts and various agencies, deposition preparation,
document production and trial preparation

| Required
Skills |
3-5 years
of legal and administrative experience supporting Partner level
Demonstrated
experience with all phases of Litigation process
Proficiency
using MS Outlook, Word, Excel and PowerPoint, iManage, Westlaw, LexisNexis
and PACER highly desired
Strong
interpersonal, verbal and written communication skills
Bachelor's
degree preferred but not required
