  • Responsible for all aspects of the expense report process.
  • The department currently processes approximately 100,000 expense reports per year.
  • Perform ten specific audits (Executive, Sales, Misc.expenses, Duplicate Expenses, Air-line tickets, etc) each month as well as verify feed to G/L, Payroll and American Express.
  • This area services domestic as well as international expense report filers. 
  • Responsibilities
  • Supervise a staff of seven (7) full time and per diem employees as necessary. 
  • Responsible for insuring the100,000 expense reports that are processed are timely and are in accordance with established company policies. 
  • Systems development and maintenance - Responsible for identifying and evaluating enhancements to the current process. Coordinate these changes both with Internal Information Technology and IBM (the TREX vendor) for testing and implementation into the company workflow. Maintenance items, changes in system rules, audit/sort requirements need to be constantly reviewed and necessary changes coordinated as above.
  • Coordinate all feeds in and out of the T&E process. This includes feeds from Payroll to establish the authorized population, feeds to Payroll and American Express for payment, and feeds to the Ledger to record the week’s activity.
  • Insure timely and accurate audits as defined by Department policy.  This includes identifying additional areas for audit.

    Responsibilities Staff Training

    Planning

    • Ability to review plans prior to being presented to the account manager for submittal to the client/agency.

    • Monitoring/approving re-expressions of dollars.

    3. Oversee work of related traffic and sales issues surrounding inventory insuring accurate input of information.

    5. Compile and maintain inventory and revenue reports in order to track avails and maximize sales revenue.
    6. Work with and optimize Inventory Systems usage and functionality.
    7. Compile inventory training materials and training programs for all relevant staff - A good people person.
    8. Research and analyze broadcast discrepancies in order to provide expedient resolutions.
    9. Versed on JDS 2000 a big plus. Moving to DealMaker.
    10. Strong Excel and Access (or any other database than Access) to optimize ability to accurately convey inventory availability to Sales Staff.
    11. Ability to make sales aware of 70-80 and 90% yields to assure budget based on remaining inventory. 
    12. Ability to let sales know the "real deal" at all times <gg>

  • Break down residual estimates into Excel spreadsheets when required by client and /or teams.
  • Comfortable with direct client contact 
  • Wider experience with industry practices and burgeoning new media like interactive, short-films, etc.
  • Ability to mentor/teach the #2 position and grow with the agency
  • Not required but appreciated would be a familiarity with international talent or celebrity negotiations.

  • 2 to 5 years of experience paying talent.
  • Familiar with EasyPay system by Talent Partners preferred.

    Summary SVP NEWS for top global media company is seeking an administrative assistant.
    Responsibilities
    • Provide administrative support to SVP including making travel arrangements, prepare and maintain T&E reports, schedule, organize, and maintain meetings. 
    • Ensure the smooth day-to-day operations with general administrative assistance (i.e. faxing, coping, filing, telephone coverage, typing, managing calendar, reserving and setting up meeting rooms).
    • Create documents and/or presentations.  Create and maintain filing system. Set up all new and existing building IDs for staff members via Security and HR.
    • Order supplies and maintain equipment needs. 
    • Create, update and maintain Telephone List.  Follow-up on internal and external requests for information.  Interact with other NEWS departments and outside vendors.  Handle a wide variety of situations and tasks involving the clerical and administrative function of the NEWS department including those reporting to the SVP of News.
    Skills Required
     
     
     

     

    • Pro-active problem solver; strong interpersonal and organizational skills.
    • Ability to work effectively with all levels of personnel including senior executives.
    • Ability to prioritize work flow and handle a few tasks at once.
    • Excellent communication skills (both verbal and written).
    • Excellent typing and proficiency in MS Word and Outlook.
    • Min 1-3 years administrative experience preferred.
    • Experience with making travel arrangements
    • The SVP is seeking a Min. 3-5 year commitment from the proper person

    • Able to manage time for peaks and valleys
    • Ability to work cooperatively and effectively with senior level entertainment executives internal and external to the organization.
